Purpose of your new team
We are looking for an organized, positive, enthusiastic, hard-working person to join our Administrative team.
Your new challenges:
- Provide secretarial support, technical and administrative duties
- Schedule appointments, ensure office communication and information flow
- Organize and facilitate meetings (internal and external customers/partners) and coordinate conference logistics as required
- Provide support for the business travels arrangements (transport, accommodation) as required
- Support in organizing participation to trainings, seminars and conferences
- Project and budgetary controlling
- Take care of the protocol activities ordering office supplies
- Active communication and correspondence with suppliers and all METRO companies both national and international
- Check the invoices, cost centers splitting, follow up payments; Making short analysis of cost/benefit based on the invoice
- Expense management (processes expenses associated with travels/meetings/events)
- Implement new ideas and optimizes administrative procedures and processes; Draw-up procedures/guidelines
- Preparing/amending contracts and follow up
- Ensuring the compliance guidelines of Metro Group are known and acknowledged by our partners
- Archive documents
- Prepare and present induction sessions for new employees (administrative procedures) and integrate them within the new teams
- Content refresh for Ask Administration intranet page
- SAP CATS bookings and task assignation
- Offer support for Managing Director
- Maintain up to date the company phone database and the business relations with the mobile communication provider
Required key competencies and qualifications:
- Strong verbal and written communication skills
- Fluent in English
- Strong organizational skills and interpersonal communication
- Good skills in prioritization and multitasking to achieve the objectives
- Strong computer skills
- Very well-organized, friendly, polite, efficient
