Overall responsibility of the provision of excellent assistance to General Manager and the Affiliate Leadership Team.

Acting as GM's discussion partner as well as sounding board and feed with news concerning the organization.

MAJOR TASKS AND RESPONSIBILITIES

Executive

• Maintains GM appointment schedule & daily calendar by planning and scheduling meetings, conferences, videoconferences, and travel

• Manage executive communications, including calls, responding to emails and interfacing with clients & customers

• Prepare and/ or support internal and external executive documents & presentations for GM to use internally or externally

• Prepare summary reports by collecting, translating & analyzing information

• Maintain an organized filing system of paper and electronic documents

• Facilitate internal alignment & communication (e.g. coordinate meetings, follow up on agreed action items, distribute information and schedule presentations)

• Uphold a strict level of confidentiality

• Develop and sustain a level of professionalism among affiliate, area staff and customers

• Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

• Arrange affiliate events, such as monthly Town halls and/or annual All Employees.

• Partner with Finance, suggesting more efficient ways to run the office and troubleshoot malfunctions

• Manage GM finances & expense reports

• Coordinate private affairs

Affiliate Leadership Team

• Contact person for GM

• Set meetings with direct reports as annual plan

• Plan affiliate leadership team yearly agenda, meeting arrangements and participation

• Enable effective communication, alignment and follow-up on agreed meeting-minute action items

• Accurately record minutes from meetings, clearly listing action items

• Serve as liaison and coordinate Business Exchange meetings
