This role will help optimize and organize the office in Bucharest. Your day-to-day activity:To operate telephone system-switchboard from reception on phone no. +4 ; directs call for unavailable employees. Screens telephones according to given instructionsTo prepare and packing DHL and internal courier’s orders + report the evidence of track numbers to senders and to receivers;To receive, register and distribute incoming faxes on phone no. +4 To prepare and packing DHL and internal courier’s orders + report the evidence of track numbers to senders and to receivers;To receive, register and distribute post delivers (the internal courier companies: Fan Courier, Sameday, DHL and Posta Romana and DHL abroad);Packing/unpacking deliversPrepare the documentations for international imports with DHL and customs servicesAssist the office administrator dealing with the mobile company Vodafone for orders and services/ networking issuesTo provide assistance in ordering the office supplies for all departments (RTC, Progetto, Dacris), within a given budget and according to PTC policies.To assist the office administrator in ordering kitchen and cleaning supplies according the needs and the PTC policiesTravel arrangements for visitors (hotel booking, taxi reservation, lunch/dinner reservations)Protocol orders for meetingsTo greet all visitors courteously, determines their needs, and directs them to the proper person and/or office;To retrieve and to solve on a case by case basis the office urgencies of the employees and office, consulting and assisted by the office administrator (and helped by BSS/other suitable company)To support and inform the manager regarding the building/maintenance issues.Your skills & knowledge:Excellent communication skills, written & verbalFluent EnglishPrior experience in similar, administrative roles Attention to details, sense of urgency & action-oriented.
